Resources for Licensees

One Wyoming

Submitting SalesStandard Licensees are required to submit sales following the conclusion of each calendar quarter (March 31, June 30, September 30 & December 31) through the OpSec Insight Licensing Portal (https://insight.opsecsecurity.com).  Licensees access the portal by signing in with the email used to register for the Wyoming Licensing Program and a self-created password.  The licensing portal will automatically calculate royalties due based on the assigned royalty rate and will generate an invoice for payment following the submittal of sales and closing of the applicable period.  Some general information as to how to navigate and use the OpSec Insight Licensing Portal is contained within this video: Online Licensing Portal Video Tutorial.  The following document contains instructions as to the sales submission process through the Licensing Portal: Submitting Sales
Finally, the video below details the sales submission process.

License Renewal Licensees are required to renew the applicable license using the licensing portal.  Please note, all licenses are moving to a June 30 renewal date.  The renewal process is triggered by submitting a sample design through the Design Request tab in the portal.  One submission is sufficient as the important aspect of the renewal are the questions that are answered as part of the renewal submittal.  In general, the renewal process is a simple, three-step process:
    1.    Submit a Design Request through the Licensing Portal and be sure to select "Renewal Form" and the applicable license type (Crafters, Organizational Use or Standard).
    2.    Pay the annual licensing fee or applicable royalty due through the University of Wyoming online payment system.
    3.    If applicable to the situation, sign a new licensing agreement via DocuSign.

Below are renewal guides that walk through the online renewal process step by step for further reference.

Design Approvals

To preserve the quality of merchandise bearing the State and University of Wyoming's marks, we require that all artwork be submitted to the Trademark Licensing Office for approval.  Most approvals will be provided within hours of submission.

Stickers

Licensees are required to affix an officially licensed sticker to those licensed products intended to be resold by a retailer, student group, etc. Alternate licensed tags may be acceptable to the Trademark Licensing Office but must be submitted for approval.  Holographic stickers are $25.00 for quantities of 250 in either the 1" or 1/4" size and are priced at $100.00 per roll (the larger stickers come in rolls of 1000 and the smaller stickers come in rolls of 2000).  Stickers can be ordered and paid for through the following link:https://secure.touchnet.net/C27222_ustores/web/store_cat.jsp?STOREID=121&CATID=66&SINGLESTORE=true

Licensee Requirements

Licensees should always refer to the licensing agreement for specific language and all terms and conditions in which they must adhere to.  This section of the website does not replace or supersede the licensing agreement and is not intended to be an exhaustive list of requirements, but is provided as a friendly reminder on select items.

Third Party Goods

A third party good is any item not purchased directly by the licensee but brought to the licensee by a retailer, distributor or individual wanting a mark applied to the item.  There are very specific guidelines (i.e., approval, royalty calculation, etc.) regarding third party goods and licensees must contact the Trademark Licensing Office prior to applying any mark to these goods.

Trademark Designations

Licensees are required to and should attempt to use the proper trademark designations on all licensed products (TM or Circle R as appropriate).  In the event that the use of the TM or Circle R designation disturbs the quality of the design, please contact the Trademark Licensing Office for permission to use the design without one or more designations - and submit the design to the TLO through the Wyoming Licensing Portal.  If a licensee fails to submit a design for approval and the proper TM designations are not included, it is usually a clear sign to the Trademark Licensing Office that the licensee does not understand its license agreement and termination of the agreement may be necessary.

Wyoming Licensing Guide: The Wyoming Licensing Guide can be found in the OpSec Insight Licensing Portal in the Manage Assets tab by clicking into the Wyoming Trademarks and accessing the pdf document in the documents section on the right side of the screen.  The guide can also be accessed here for further reference and convenience: /documents/2022/11/29/WYO_LicensingGuide_June_2022.pdf

Use of Other Marks

Licensees cannot use any other business name, trademark, service mark, trade name, or logo in combination with the State and University of Wyoming's licensed marks without prior approval of the Trademark Licensing Office.
